Reporting & oversight

The same evidence, the same way, from every provider.

These are the report shapes AP Track produces. Abstract fragments — the structure, not a provider's data.

Attendance

Attendance read from the register, not from a summary.

Every session is marked on the day by the tutor who delivered it, with arrival times and absence codes carrying reasons. The report is the same data, grouped — so a question about one week resolves to one session, not an estimate.

one format · every provider · placeholder shape only

Safeguarding activity

Assurance that concerns move, without exposing case detail.

You see that concerns were raised, that they reached the designated safeguarding lead, that actions were recorded, and that records are locked against deletion. The content of a concern stays inside the provision's record where it belongs.

  • Records locked

Activity and routing, not case detail. No personal data leaves the provision's record.

Outcomes

What changed during the placement, recorded as it happened.

Engagement, recorded progress and noted destinations sit against the placement rather than in a separate end-of-term document. Nothing is reconstructed at review time.

Delivered vs commissioned

Delivered hours against commissioned hours, from the same marked sessions.

The invoice and the attendance report are built from one set of facts. Where delivery differs from commissioning, it is visible in the same view — before the invoice is a dispute.

Delivered hours vs commissioned

delivered · commissioned marker

Invoicing is calculated from contracted hours, adjusted only for tutor absence — this view is for delivery tracking, not billing.

Audit trail

Every figure traces back to an action and a person.

Reports are exportable with the underlying audit trail: who marked, when, what was amended and by whom. Attribution is not optional, so evidence does not need defending.
